Wedding Information - Florals, Styling, Catering, Music & Ceremony Guidelines

We ask that you please adhere to these guidelines for all floral/foliage installations, styling, and your ceremony. A copy of this document is to be provided to your florist and/or stylist.

Bump In & Out

● All DIY styling (as agreed by Elysian Hills) must be undertaken by the wedding party.
● Bump in and out times are to be agreed upon and approved by Elysian Hills.
● Furniture delivery will be required at set times to allow for wedding day cohesion with all suppliers.
● Bump out to be complete by no later than 11:30 pm (NSW time) on the night of the wedding.

Flowers & Styling

● All installations require prior approval so we may discuss rigging points and weight limits etc. with the supplier.
● The only tape allowed to stick floral/foliage to the walls is white cloth tape (Bunning’s only). This must be removed by midnight on the wedding evening.
● All ladders/installation equipment are to be on protective blankets.
● Any damage to the walls from using double-sided tape or hooks or any damage to the floors from not using protective blankets will incur a repair fee.
● Florists supplying their own arbour are required to install the arbour at the ceremony space and remove it within the bump-in/bump-out requirements.

Favours

● No alcoholic favours to be displayed on tables or consumed by guests onsite. Please contact your Wedding Coordinator to discuss further.

Candles

● All candles must be in holders to prevent wax from dripping onto tables and furniture. ‘Non-drip’ candles are not an exception. Any candles not in holders will not be lit, and any damage to tables/furniture from wax will incur a repair fee.

Ceremony

● Real flower petals are allowed in all areas.
● To protect the environment, fake flower petals, rice, glitter, and/or crushed glass are not permitted within the buildings or on the grounds.
● Eco-fetti is allowed on the grounds only (not within the buildings), available here.
● Bubbles are allowed on the grounds only (not within the buildings).
● Please note the following Government restrictions: Sky lanterns are banned in Australia and are not allowed at any time (more information here).
● Balloon releases of less than 20 balloons are acceptable. NSW legislation states it is illegal to release 20 or more balloons at once (more here).

Music Restrictions

To ensure you have a wonderful wedding celebration without any noise issues, we require that you and your subcontractors comply with the following music restrictions:
● Noise levels within the indoor dance room/reception to be no higher than 85dB. Noise levels within the shed or grounds, marquees, or tipis to be no higher than 70dB. No drums, no bands, or amplified music within the shed/grounds (indoor dance floor permitted).
● No percussion, live drums, saxophones, or brass instruments.
● Please refer to your booking forms and schedule for the music finish time.
● All musicians and DJs must contact Elysian Hills prior to being booked for approval to perform.
● Vendors must set up on the immediate grounds of your booked ceremony and/or reception location only. Noise levels will be monitored by the Elysian Hills team throughout your event to ensure that the above levels are adhered to. Elysian Hills reserves the right to adjust the volume to the required decibel limit. Failure to comply with the above terms and levels will result in all music being turned off/musicians required to cease performing. Elysian Hills reserves the right to terminate with immediate eviction from the property and forfeit all monies paid in the case of noise complaints.

Catering

We know that sourcing the perfect suppliers for your wedding day can be a minefield, so we want to make it as easy as possible for you.

Elysian Hills offers both catering and DIY-approved external catering, which means we encourage you to bring your own creative taste to your wedding. Whether you are looking at an alternate drop menu, feasting, or casual food trucks, Elysian Hills is the perfect space to make your culinary vision come to life. We provide, as part of your wedding package, a handcrafted bar, water, and power for your approved caterers on the day.

Please note, that all suppliers are subject to approval by Elysian Hills and must be licensed and approved by the Tweed Shire Council and hold suitable insurance. Caterers will be required to provide proof of all documents to Elysian Hills.

Venue Coordination

Elysian Hills Venue Coordination inclusions;

  • Assist you with your detailed wedding schedule 

  • Assist you with your detailed floor plan

  • Help arranging a seating chart

  • X1 finalising meeting before the big day

  • Ensure all your beverage options are stocked for the big day

  • Communicating and liaising with your suppliers leading up to the wedding day to ensure cohesion throughout your wedding reception and to ensure that setup and pack down run smoothly, along with answering any questions that may arise

  • Ensuring everything goes smoothly, attending to all guest’s questions and keeping track of the time throughout the day during the time of the venue coordinator being onsite (9:00 am - 5:00 pm NSW TIME)

  • Ensuring the couple is driven in our buggy to the ceremony location

  • Ensuring all of your guests know what is happening and where they are going, ushering the wedding party to the reception space after the ceremony and group photos

  • Serving the wedding party drinks or food (if it is our in-house catering) when required

  • Assisting with setting up the Elysian Hills package inclusions. Please note that any extras are the responsibility of the wedding party or an external supplier to set up.

  • Escorting you and the wedding party from location to location for photos during the time of the venue coordinator being onsite (9:00 am - 5:00 pm NSW TIME)

  • They will give their knowledge and experience on where to go considering the light, sunset and practicality of what you are after for your photos.

  • Communicate and liaise with the front of house and chef teams (if you select in-house catering), ensuring the food and beverage are at a high standard

  • Assisting you in finalising your schedule to ensure you can relax on your wedding day

  • Always happy to offer their advice and experience leading up to your wedding day, ensuring all timings and overall cohesion on the running of your wedding day.
